This website collects personal data when you book a journey or ask for a quote. This page describes that processing, as required by the General Data Protection Regulation (Regulation (EU) 2016/679, known as the GDPR).
The data controller
EI Gor AGHAJANYAN (Exclusive VTC), 5 passage de la Margeride, 31770 Colomiers, France. For any question about your data: contact@exclusivevtc.fr or 07 67 70 09 96 (+33 7 67 70 09 96 from abroad).
The data collected
- For a booking: your name, phone number and e-mail; the pick-up and drop-off places (sometimes your home); the date and time; the number of passengers and the options chosen; the flight or train number, the number of bags and the note left for the chauffeur.
- For a quote request: your name, your phone number or e-mail, the subject of the request and your message.
- To calculate the price: no personal details. Only the pick-up, destination, date, time, number of passengers and options are sent to the server. The letters typed in the address fields and the two addresses chosen go through the server to the suggestion and route service, without your name or your IP address, for the time of the calculation.
- “Use my location”: only if you ask for it and allow it, your device gives its position to the website, which passes it through the server to the address service to find the nearest address. The position is used for that alone: it is neither recorded nor kept; only the address you keep is used for the price and the booking.
Why, and on what basis
- Carrying out the journey: booking, confirmation, booking voucher, reminder the day before, pick-up. Basis: the contract (GDPR, article 6, paragraph 1, b).
- Replying to a quote request. Basis: pre-contractual steps taken at your request (same article).
- Issuing the receipt, keeping the accounts and showing the booking voucher in case of inspection. Basis: legal obligations (GDPR, article 6, paragraph 1, c).
- Protecting the website against abuse: the number of requests is limited, based on the IP address encrypted irreversibly (never kept in clear). Basis: the legitimate interest of the business (GDPR, article 6, paragraph 1, f).
- Asking you, once after the journey, whether you would like to leave a review. Basis: the legitimate interest of the business (same article, f); simply reply “no” to receive no more.
Your name, phone number and e-mail are needed for the booking: without them, it cannot be recorded. The journey details (flight, train, luggage, note) are optional.
No data is sold, or used for advertising or profiling.
For how long
- Bookings: three years after the journey. After that, what identifies you is erased; the number, date and amount remain for the accounts.
- Receipts: ten years, like any accounting document (French Commercial Code, article L123-22); their copy, at least two years (French order no. 83-50/A of 3 October 1983).
- Quote requests that went no further: three years after the request or the last exchange.
- E-mails sent: thirteen months, then their content is erased.
- Website administration log: one year for logins, three years for the rest.
- No analytics or advertising cookies; one technical cookie, used only for the website administration, lasts twenty-four hours.
Who receives it
The chauffeur, who drives and manages the bookings. Technical service providers, only on behalf of Exclusive VTC and on its instructions:
- hosting of the website and the data: Cloudflare, Inc. (101 Townsend Street, San Francisco, CA 94107, United States);
- sending confirmation and reminder e-mails and receipts: Resend, Inc. (San Francisco, United States);
- address suggestions and road distances: Google Maps Platform (Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland), and as a fallback the Géoplateforme of the French National Institute of Geographic and Forest Information (IGN, 73 avenue de Paris, 94160 Saint-Mandé, France); only the letters typed, the positions of the two addresses and, if you use your location, that location are sent to them, never your name or contact details;
- notice of new bookings to the chauffeur: an alert with no name or address (the request number, its price and a link to the management area), by Telegram and by the notification of the administration app installed on their phone.
Officers in charge of inspections may ask to see the booking voucher, as the law provides.
Outside the European Union
Cloudflare and Resend are established in the United States. The transfer relies on the European Commission's adequacy decision of 10 July 2023 (EU–US Data Privacy Framework) for certified companies, and otherwise on the Commission's standard contractual clauses, provided for in their data processing agreements. Google Maps Platform is provided by Google Ireland Limited; Google LLC, certified under the same framework, may be involved.
Trackers and analytics
The website places no analytics, advertising or third-party cookies: no consent banner is needed.
Two technical pieces of information stay in your browser for the time of your visit: the fact that the logo animation has already played, and the journey being booked with its price (fifteen minutes at most, never your contact details). They do not leave your device and are erased when you close the tab.
Your phone number
Your number is used to reach you about the journey. It is not used for sales calls: any commercial phone call requires your prior consent (French Consumer Code, “code de la consommation”, article L223-2).
Your rights
You can ask for access to your data, its correction, its erasure or the restriction of its processing, object to processing based on legitimate interest, and receive the data you provided in a readable format (GDPR, articles 15 to 21). Write to contact@exclusivevtc.fr: you will receive a reply within one month (GDPR, article 12).
Data needed for the booking voucher, the receipt and the accounts is kept for the legal periods, even after a request for erasure.
If you consider that your rights are not respected, you can lodge a complaint with the French data protection authority (Commission nationale de l'informatique et des libertés, CNIL), at cnil.fr.
Security
The website is served over an encrypted connection. The booking management area is reserved for the chauffeur and protected by authentication. Old bookings are deleted automatically at the end of their retention period.
